• Terms and Conditions

    These Terms and Conditions apply to all programs offered by Voices for Animal Welfare (VFAW), including the Tanzanian Law and Animal Law Internship, Animal Photography Internship, Veterinary Internship with a Veterinary School, and Teaching Animal Welfare in a Primary School Program.

  • Eligibility

    Participants must be 18 years or older at the start of the program and fluent in English to ensure effective communication. Proof of rabies vaccination is mandatory before arrival but can be submitted later once the application is approved. Applicants must submit details of any medical conditions and confirm they are fit to travel. Comprehensive travel insurance covering medical emergencies, accidents, and repatriation is required for the entire duration of the program.

  • Application Process

    Applications must be completed online through the VFAW website. Applicants are required to submit a CV/Resume, Motivation Letter, and Copy of Passport valid for at least 6 months, along with Proof of Rabies Vaccination. These documents can be submitted later once the application is approved. Applications are reviewed within 7 business days, and shortlisted candidates may be contacted for an interview. To confirm participation, a non-refundable deposit of $700 USD must be paid upon acceptance.

  • Payment Policy

    The total program cost is $2700 USD for one month, payable no later than 60 days before the start date. Payments can be made via PayPal or bank transfer. The first installment is a non-refundable deposit of $700 USD, required to secure a spot in the program.

  • Payment in Installments:

    Participants may choose to pay in 3 installments as follows:

    • First Installment: $700 USD non-refundable deposit due upon acceptance.
    • Second Installment: $1000 USD due 90 days before the start date.
    • Final Installment: $1000 USD due 60 days before the start date.

    Participants opting for the installment plan must adhere to these deadlines. Failure to complete payments by the specified dates may result in the cancellation of enrollment without a refund.

  • Refund Policy

    Cancellations made 60 or more days before the start date are eligible for a 70% refund, excluding the deposit. Cancellations made 30–59 days before the start date are eligible for a 50% refund, excluding the deposit. No refunds will be issued for cancellations made less than 30 days before the program start date. If the program is canceled by VFAW, participants may choose a full refund including the deposit or defer enrollment to a future program at no extra cost. Participants may defer their program to a later date from June (July for the Teaching Animal Welfare in a Primary School Program) to September 2025, provided notice is given at least 30 days in advance.

  • Program Inclusions

    The program fees cover accommodation, meals, and a 3-day Serengeti and Ngorongoro Crater safari, which includes meals, camping, and guided tours. Workshops and training sessions are led by experts and tailored to each program’s focus. Airport transfers are provided for pick-up and drop-off at Kilimanjaro International Airport or Arusha Airport. Participants will receive local support from coordinators available 24/7, as well as organized excursions and cultural activities.

  • Program Exclusions

    The program fees do not include flights, visas, vaccinations, medical costs, travel insurance, personal expenses, or optional activities not listed in the program.

  • Code of Conduct

    Participants are expected to follow local laws, cultural customs, and VFAW guidelines. They must treat animals, staff, communities, and fellow participants with respect at all times. Behavior that harms the organization’s reputation or program goals is prohibited. Participants must also comply with confidentiality agreements, especially in the Law Internship Program regarding legal cases and client information. Misconduct may result in dismissal without a refund.

  • Health and Safety

    Proof of rabies vaccination is mandatory but can be submitted later after application approval. Participants must inform VFAW of any pre-existing health conditions prior to arrival. Comprehensive travel insurance covering medical emergencies, evacuation, and property loss is required. Participants must follow all safety guidelines and instructions provided by VFAW staff.

  • Responsibility

    Participants are responsible for ensuring they meet all visa, vaccination, and health requirements before arrival. They are responsible for their belongings and personal safety throughout the program and must follow local laws and VFAW policies at all times. VFAW is responsible for providing accommodation, meals, and support services as outlined in the program description. VFAW provides training, workshops, and excursions but reserves the right to modify schedules due to unforeseen circumstances. VFAW prioritizes safety and logistical support but cannot be held liable for injuries, illnesses, accidents, or theft during the program.

  • Travel and Logistics

    Airport pickup is provided at Kilimanjaro International Airport or Arusha Airport, along with return transfers at the end of the program. Pickup and drop-off services are available at no extra cost for flights arriving late at night or early in the morning. Participants must provide flight details at least 2 weeks before arrival.

  • Privacy Policy

    VFAW collects personal data only for registration, program management, and legal compliance. Personal information will not be shared with third parties without prior consent, except when required by law.

  • Liability Disclaimer

    VFAW is not liable for injuries, illnesses, or losses during the program. VFAW is also not responsible for flight delays, cancellations, or personal emergencies affecting participation. Participants accept all risks associated with travel, fieldwork, and animal interactions. Optional activities outside the program itinerary are not covered by VFAW and are undertaken at the participant’s own risk.
